What these sites collect

What you type into a form or into a conversation with Holly, plus anonymous page-view statistics (see below).

• Consultation request — Business name, your name, an email address or phone number, what you think you need, your description of the blocker, and how you would like to be contacted.
• Job application (on a careers page or in the chat with Holly) — Your name, email address, phone number (optional), the role, and depending on how you apply: your CV file (PDF, DOC or DOCX), your LinkedIn profile link or a description of your experience; plus a portfolio link and message if you add them. CV files are kept in a private area of our server (not reachable from the internet) and attached to the email sent to the Holdrix team. Used for recruitment only.
• Chatting with Holly (AI assistant) — What you ask and the answers, the page you are on, your language and a one-way hash of your IP address; plus your name, phone number, email and details about your business if you choose to type them into the chat. Please do not enter sensitive details such as bank or card numbers, identity documents or health information.
• Page-view statistics — When a page opens, your browser sends our server: the page address, its language, the site that sent you (its domain only, for example google.com) and any utm campaign tags, the device type (phone, tablet, computer), your device's time zone (to tell the area, for example Melbourne or Vietnam) and how long the page was on screen. No cookies, no IP address stored, no location request. To count people per day, the server makes a one-way hash of your IP address, browser and a random key that is replaced and deleted every day, so it cannot be traced back to an IP address or linked across days. Browsers with "Do Not Track" or "Global Privacy Control" turned on are not counted.
• Server logs: our hosting provider automatically records basic access data (IP address, browser type, time of visit) to keep the site secure.

Page-view statistics are counted by our own server, not a third-party analytics service. There is no advertising pixel, no tracking cookie and no third-party request — with two exceptions. First, the typeface is loaded from an online font service, so your browser does make a request to that service when the page opens; we intend to self-host the fonts on our own domain and remove even that. Second, when you chat with Holly, our server sends the conversation to an AI model provider based in the United States to write the answers and summarise the conversation. Under that provider's data policy, the content is deleted automatically within 30 days. CV files are never sent to the AI provider.

These pages do not set a cookie. We keep a few preferences in your browser: the language you chose, and whether you have picked a language on the sample sites, held in session storage and deleted when you close the browser; your light/dark choice if you set one, which is remembered for next time; and, if you chat with Holly, the conversation (kept for 24 hours so it survives moving between pages; press "New conversation" to clear it), your reply-sound setting and whether you closed Holly's greeting; plus a random id for the visit (deleted when you close the tab) that ties a page view to its time on screen in the statistics. Nothing else is stored on your device, and these preferences are not sent to us.

Why we collect it

To reply to you. For conversations with Holly: to answer your questions; to let the Holdrix team contact you when you leave a phone number or email (Holly then summarises what you discussed and sends it to sales@holdrix.com.au); and to improve Holly's answers. Page-view statistics are used only to see which pages people read, where visits come from and from which areas, so we can improve the site. We do not send marketing email to addresses collected here.

Where it goes

When you press send, your details go to the Holdrix website server (run by our web hosting provider and located in Singapore) and are stored in a private file that is not publicly accessible. They are then emailed through the business email service Holdrix uses: consultation requests to sales@holdrix.com.au, job applications to admin@holdrix.com.au. If the server cannot send them, your own email app opens with what you filled in so you can send it yourself. Conversations with Holly are kept the same way on this server. The three Holdrix founders read it. We do not sell, rent or share it, other than with the service providers described in this policy (our web hosting provider, email service, font service and AI provider) and only to run the website.

To limit spam, the server also keeps a one-way hash of your IP address, used only to cap how often a form can be sent. Your IP address itself is not stored.

Page-view statistics are kept on this server; each day the totals (for example: page A had 40 views, 12 from Google, 25 from Melbourne) go into Holdrix's internal management tool. Those totals contain nothing about any individual visitor.

How long we keep it

Two years, then deleted. Page-view statistics on the server are deleted after 35 days; only the daily totals are kept. Conversations with Holly are kept for up to 180 days; the summary sent to the Holdrix team when you leave contact details is kept like a consultation request (two years).

About Holly, our AI assistant

Holly is an artificial intelligence (AI) program, not a member of the Holdrix team. By using Holly you agree to the following:

• Holly's answers are generated automatically from the website's content and may be inaccurate or incomplete. The official information is what the website pages say and what the Holdrix team confirms directly.
• Holly's answers are not a quote, contract, commitment, or legal, tax or financial advice. A project's cost, scope and timing are only confirmed in writing by Holdrix.
• With candidates, Holly only shares recruitment information and takes applications; Holly does not assess applications or make hiring decisions.
• Please do not enter sensitive details or use Holly for anything unlawful, harmful or abusive. Holdrix may pause Holly or limit the number of messages at any time.
• You can ask to see or delete your conversation by emailing us, with the conversation ID if you have it, at the address below.

Your choices

• Ask what we hold about you.
• Have it corrected if anything is wrong.
• Have it deleted outright.

Write to admin@holdrix.com.au. We respond within a reasonable period and never charge for it. You do not need to give a reason.

Complaints

If you think we have mishandled your personal information, tell us first at the address above. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
